How to Book 100+ Hotel Rooms in Dubai for a Corporate Project

Booking one hotel room is straightforward. Booking 100 rooms for several months requires a completely different approach.

Large-scale accommodation is commonly required for construction projects, corporate expansion, government-related projects, engineering teams, technology projects, events, film production, sports teams, relocation programmes, and large business delegations.

Start With a Rooming Requirement

Before contacting hotels, prepare a clear rooming list. For example: Total employees: 150. Rooms required: 100. Stay: 90 nights. Location: Dubai. Budget: AED ___. Room types: Studio and One Bedroom.

Calculate Total Room Nights

A useful calculation is: 100 rooms × 90 nights = 9,000 room nights. This shows the true size of the requirement. For monthly accommodation: 100 rooms × 30 nights = 3,000 room nights per month.

Hotel or Hotel Apartment?

For a three-month project, hotel apartments may be more appropriate for some teams because they can provide additional living facilities. However, traditional hotels can be better for teams that require full hotel services and standardised rooms.

Location Is Critical

The cheapest accommodation is not always the cheapest overall solution. If employees travel two hours every day, transport costs and lost productivity can increase. Consider distance to workplace, metro, bus access, parking, staff transport, restaurants, supermarkets, and medical facilities.

What to Include in an RFP

A professional bulk accommodation request should include: Company, Project, Number of employees, Rooms required, Room types, Check-in, Check-out, Preferred areas, Budget, Meal requirement, Housekeeping, Transport requirement, and Special requirements.

Why Centralised Booking Helps

One accommodation contact can simplify reservations, guest lists, extensions, room changes, billing discussions, communication, and check-in coordination.

Final Thoughts

For 100+ rooms, don't approach the requirement like a normal hotel booking. Treat it as a corporate accommodation project. The goal is to secure suitable accommodation for the entire group while controlling cost, location and operational complexity.
