How to Book Hotel Rooms for Large Corporate Groups: A Step-by-Step Guide

Booking a hotel for two employees is straightforward. Booking accommodation for 50 or 100 employees is completely different.

Large corporate groups require planning, negotiation and centralised management.

Step 1: Determine the Number of Employees

Start with the expected number of guests. Separate the requirement into single rooms, double rooms, studios, one-bedroom apartments, and two-bedroom apartments.

Step 2: Determine the Duration

The length of stay directly affects the accommodation strategy. For example: 1–7 nights suits a traditional hotel booking; 8–29 nights suits an extended-stay hotel; 30+ nights calls for long-stay/corporate accommodation.

Step 3: Select the Location

Location should be based on the office, project site, airport, public transportation, employee requirements, and company transportation.

Step 4: Establish a Budget

Set a realistic budget per room/night, room/month, unit/month, and employee/month.

Step 5: Request Corporate Rates

For large groups, request a corporate or long-stay quotation. Provide the hotel with complete requirements.

Step 6: Compare Properties

Do not compare only room price. Compare location, room size, facilities, Wi-Fi, housekeeping, parking, meals, laundry, cancellation, extension policy, and taxes and fees.

Step 7: Confirm the Booking

Before confirming, make sure the company receives written confirmation covering the agreed requirements.

Applying This Process Globally

This seven-step process works the same way whether the destination is Dubai, Mumbai, Shanghai, or Shenzhen — only local pricing, regulations, and available room types will vary.

Corporate Accommodation in China

China's major commercial hubs — Shanghai, Beijing, Shenzhen, Guangzhou, Hangzhou, Chengdu, and Hong Kong — have fast-growing demand for long-stay corporate accommodation as multinational companies expand teams, relocate staff, and run extended projects across the region.

Companies sourcing accommodation in China should compare monthly serviced-apartment rates, proximity to business districts (e.g. Shanghai's Lujiazui and Jing'an, Shenzhen's Futian and Nanshan, Beijing's Chaoyang and Haidian), and whether bulk or group rates are available for teams of 10, 50, or 100+ employees.

Conclusion

Large corporate hotel bookings become much easier when companies approach accommodation as a procurement requirement rather than individual travel bookings.
