Group Hotel Booking for Long Stays: A Corporate Guide to Booking Rooms for Employees

Group hotel booking is normally associated with conferences, weddings and events. However, companies also need group accommodation for much longer periods.

A company may need 20 rooms for 60 nights, 50 rooms for 90 nights or 100 units for a major project. These requirements require a different approach from standard hotel reservations.

Who Needs Long-Stay Group Accommodation?

Common corporate users include IT companies, construction companies, engineering firms, consulting companies, hospitality companies, healthcare companies, manufacturing companies, government contractors, recruitment companies, and relocation companies.

Common Corporate Group Booking Scenarios

Project Teams

Employees working on temporary projects need accommodation near the project location.

Employee Relocation

Companies transferring employees between cities or countries need temporary housing.

Training Programmes

Large companies may bring employees together for weeks or months.

Corporate Events

Some events require accommodation before and after the main event.

Important Factors

When making a group hotel booking, companies should consider:

• Location — Is the hotel close to the office or project?
• Room Type — Do employees need rooms, studios or apartments?
• Duration — Is the stay 30, 60, 90 or more nights?
• Rate — Can the hotel provide a monthly corporate rate?
• Services — Does the property provide housekeeping, Wi-Fi, laundry and parking?
• Flexibility — Can employees extend their stay?

Long-Term Group Booking Strategy

Companies should create a standard accommodation requirement template. For example:

Destination: Dubai. Employees: 40. Stay: 90 nights. Room Type: Studio/1 Bedroom. Budget: AED X per unit/month. Location: Barsha Heights/JLT/Business Bay. Required Facilities: Wi-Fi, housekeeping, kitchen, parking.

This makes hotel sourcing considerably easier — the same template works whether the destination is Dubai, Mumbai, Shanghai, or Shenzhen; only the location, currency and required facilities change.

Corporate Accommodation in China

China's major commercial hubs — Shanghai, Beijing, Shenzhen, Guangzhou, Hangzhou, Chengdu, and Hong Kong — have fast-growing demand for long-stay corporate accommodation as multinational companies expand teams, relocate staff, and run extended projects across the region.

Companies sourcing accommodation in China should compare monthly serviced-apartment rates, proximity to business districts (e.g. Shanghai's Lujiazui and Jing'an, Shenzhen's Futian and Nanshan, Beijing's Chaoyang and Haidian), and whether bulk or group rates are available for teams of 10, 50, or 100+ employees.

Conclusion

Long-stay group hotel booking is an important corporate accommodation requirement across global, Indian, UAE, and Chinese markets. Instead of treating every employee as an individual booking, companies can manage accommodation as one structured corporate requirement. This can simplify procurement and improve accommodation planning.
